Managing Your Account

Gaining access to your WCBS schoolPORTAL account is quick and easy.

1. You receive an activation email from your school, similar to that shown below.
   

   Note: The link has been intentionally blurred in this screenshot.

2. Click on the link at the bottom of the message.

   The Set Password screen of your WCBS schoolPORTAL site appears.
   
   

3. Enter your email address.

   Note: Your email address MUST be unique. (If two users try to set up accounts with the same email address, for example where a family shares an email address, then an error message appears.)

4. Enter your new password.

   Note: Your password must be eight characters long, contain at least one uppercase letter, one lowercase letter and one number. It must also differ from the previous ten passwords you have used.

5. Enter your new password once again.

6. Click Set Password.

   The WCBS schoolPORTAL Home Page appears.

1. In the WCBS schoolPORTAL header, click My Details.
   The My Details screen appears. (The first screenshot shows the My Details screen for parents / contacts, and the second shows the same screen for pupils.)
   

   

   

   Note: Pupils see different information from parents / contacts on this screen. If you have any questions, please contact your school.

   My Details section	Summary
   User Details	Displays key contact details held by your school. Note: As a parent / contact, you can opt to share your contact details with other parents / contacts at your school, if you wish.
   Associated Pupils	Note: This functionality is only available if you are a parent or contact. Displays a grid containing the pupils that you are related to or associated with at the school.
   Payment Details	Note: This functionality is only available if you are a parent or contact. Displays payment details for all pupils for whom you have billing obligation.

2. Check your details are correct.

3. (Optional) If required, do one or more of the following:

   • Update your username - see below.
   • Update your password - see below.
   • Share your contact data, if applicable - see below.
   • Notify the school of contact or payment detail changes. Click Notify Changes to Contact Details or Notify Changes to Payment Details respectively. For details, see Contacting Your School.

1. In the WCBS schoolPORTAL header, click My Details.
   The My Details screen appears. (The first screenshot shows the My Details screen for parents / contacts, and the second shows the same screen for pupils.)
   

   

   

2. Click Change Password.
   The Change Password dialog appears, stating that an email has been sent to you with instructions on how to alter your password.
   
3. Follow the emailed instructions to change your password, then log in using your new password.

Note: Your WCBS schoolPORTAL account is set up by your school, using the email address you have provided as your username. It is your responsibility to maintain that email account. If you change your email account, you will need to alter your WCBS schoolPORTAL username. You also need to inform your school of your new email address, if you wish them to use this new email address for other correspondence.

1. In the WCBS schoolPORTAL header, click My Details.
   The My Details screen appears. (The first screenshot shows the My Details screen for parents / contacts, and the second shows the same screen for pupils.)
   

   

   

2. Click Change Username.
   The Change Username screen appears.
   

3. In the New Username field enter your new username, which must be a valid email address.

   Note: Your email address MUST be unique. (If two users try to set up accounts with the same email address, for example where a family shares an email address, then an error message appears.)

4. Confirm the correct entry of the new username by entering it again in the Confirm New Username field.

5. Click Save.

   Your username on the My Details screen is updated to reflect the change.

   Note: WCBS schoolPORTAL uses the email address you enter here to send you confirmation of this change, and give you access to reset your password. This is also the email address to which the confirmation of online payment is sent.

You can ask your school to change the address and telephone number details they have recorded for you using WCBS schoolPORTAL.

1. Log in to your school's WCBS schoolPORTAL site and go to My Details.

   The My Details screen appears.

2. Click Change My Contact Details.

   The Update My Contact Details dialog appears.

   

3. Amend the address or daytime, evening or mobile telephone numbers, as required.
4. (Optional) If changes also apply to the pupils you have at the school, tick the relevant Also apply Address change to check box(es).

5. Click Save.

   The Update My Contact Details popup appears.

   

6. Read the message and, if you are happy to proceed, click Save.

7. The school is told about your request. A message appears at the top of your Update My Contact Details screen while the request is being processed and you are unable to ask for further changes. If you have any questions, please contact your school.

   

Note: Your school decides whether this option is available, so you may not be able to do the following. If you have any queries, please contact your school.

These settings allow parents / contacts to share contact information with each other via WCBS schoolPORTAL.

1. In the WCBS schoolPORTAL header, click My Details.
   The My Details screen appears.
   

   

2. Click Edit My Share Details.

   The Edit My Details screen appears.

   

3. (Optional) View details about how your contact details are shared if you tick the share check boxes:

   1. Click Sharing My Details Help.

      

   2. Click OK to close the popup.

4. For each contact detail you wish to share with other parent / contact users of your school's WCBS schoolPORTAL, tick the appropriate check box.

   Note: If you do not wish to share your contact information with other parents / contacts, please ensure that ALL of these check boxes are blank. (These options are specific to other parent / contact users. Your details are NOT shared with pupils.)

5. Click Save.

• In the header, at the top of each WCBS schoolPORTAL screen, click .

  If you are using a shared computer, i.e. one that others can access, we advise you to also close the browser after logging out.
